Last updated: 2 August 2026These Terms describe how Quality Care Services works with the families who ask us to arrange care or home support in Kota. They set out what we do, what we deliberately do not do, what we need from you, and how charges are agreed.
They apply from the moment you contact us — by phone, WhatsApp, or the inquiry form on this website — and continue for as long as we are arranging or running a placement for you. If you go ahead with a service after speaking to us, you are accepting what is written here.
What these Terms are not
This page exists so that families know what to expect before anything starts, not to intimidate anyone or to bury conditions in long sentences. Nothing here replaces the conversation we have with you on the phone — that conversation is where the specifics of your arrangement get agreed. If any part of this page is unclear, or if it seems to contradict something we told you, contact us and ask before you book. We would much rather answer the question now than have you discover something on the first day.
1. The services these Terms cover
These Terms apply to the seven services described on this website, and to nothing else:
- Patient Care — qualified nurses where a patient's care requires nursing training, and experienced caregivers for recovery, mobility, hygiene and daily support
- Elder Care — daily support for an elderly person at home
- Mother & Newborn Care — support for a mother and newborn in the weeks after delivery
- Child Care — care for young children at home
- Maid Services — part-time or full-time household help
- Home Cook Services — daily home-style meal preparation
- Housekeeping / Dusting & Cleaning — household cleaning and upkeep
If someone offers you a service in our name that is not on this list, it is not ours. The full descriptions, including what each service does and does not include, are on the services pages.
2. Services we do not provide
This section matters more than most of this page, because misunderstanding it is the one thing that could leave a family without help at the moment they need it. Quality Care Services is a care and domestic staffing business. We are not a medical provider, and the following are outside our scope entirely:
- Emergency response. We are not an emergency service and cannot be relied on in an emergency. If someone needs urgent medical help, call the emergency services or go to a hospital.
- Ambulance or patient transport. We do not operate ambulances and do not arrange medical transport.
- Hospital or clinical treatment. Treatment happens under the care of the treating doctor or hospital, not through us.
- Diagnosis, prescription, or changes to a treatment plan. We do not diagnose conditions, prescribe anything, or alter what a doctor has decided. That stays with the patient's own doctor and always will.
- ICU or high-dependency setup at home. We do not build or staff intensive-care arrangements in a home.
- Surgical or post-surgical clinical procedures. Any procedure requiring a clinician is outside what we arrange.
- Medical equipment supply, rental, installation or maintenance. We neither hire out nor service equipment of any kind.
- Physiotherapy, diagnostic tests, or sample collection. These are separate professional services we do not provide.
If what you need falls into any of the above, we will tell you on the first call rather than accept the work. Where we can point you towards the right kind of provider we will, though we do not take responsibility for anyone we mention.
3. How caregiver matching works
The process is the one described on our About page, and it is the same for every service.
Enquiry and understanding the requirement
You tell us the situation — the condition or routine, the hours, the area of Kota, and when help needs to start. We ask questions to establish which service actually fits, including when the honest answer is a smaller service than you expected, or none of ours at all.
Matching and your decision
We shortlist staff whose experience suits the requirement and share the relevant details with you before anyone arrives. You decide who comes into your home. We do not assign a person and inform you afterwards.
Verification
Identity verification, background checks, reference and experience review are completed before a placement is confirmed. Where a role needs it, the person is briefed on your specific requirement before starting. What verification establishes is who a person is and what their record shows. It is not a guarantee of how someone will work, it says nothing certain about character, and it is not a clinical credential — we will not present it as any of those things.
No guarantee of immediate placement
Contacting us does not reserve a caregiver, and we cannot promise that a suitable person will be free when you need one. For urgent requirements we can usually arrange staff within 24 to 48 hours. For a standard requirement we typically need 2 to 3 days to match someone properly. Those are realistic expectations from experience, not commitments — if we cannot meet your timing, we will say so rather than accept the booking and hope.
4. Availability
Whether we can take on a placement, and how quickly, depends on:
- Location. We serve Kota, including Talwandi, Vigyan Nagar, Mahaveer Nagar, Kunhari and Landmark City. For places just outside the city, call and we will confirm whether we can cover it.
- Caregiver availability. Suitable staff are not always free at short notice, particularly for overnight and 24-hour duty.
- The schedule you need. Some shift patterns are harder to staff than others.
- Skills the situation requires. A placement needing nursing training draws on a smaller group of people than a general caregiver placement.
- Public holidays and festivals. Availability is more limited around these, and we will tell you in advance where we can foresee it.
- Situations outside anyone's control. Illness, a family emergency for the caregiver, transport disruption or similar events can interrupt a placement at short notice. We will inform you as soon as we know and work to arrange cover.
Our office hours are Monday to Saturday, 8:00 AM to 8:00 PM, and Sunday, 9:00 AM to 2:00 PM. Messages sent outside those hours are answered when we next open.
5. What we need from you
A placement works when both sides hold up their end. From you we ask the following.
- Accurate information. Describe the situation as it actually is — the condition, the mobility, the hours, who else is in the home. A placement matched against an incomplete picture is the most common reason one fails.
- Tell us about risks. If there is anything in the home or the situation that could affect someone's safety, tell us before the placement starts, not after.
- A safe and reasonable working environment. Basic safety, access to drinking water and a washroom, and a duty that is physically reasonable for one person.
- Access. Make sure the caregiver can reach and enter the home at the agreed times.
- Respectful treatment. Our staff are professionals doing skilled work. Harassment, abuse, discrimination, or demands unrelated to the agreed duty are not acceptable, and we will withdraw a placement where they occur.
- Keep to the agreed schedule and task list. If your requirement changes — more hours, a different shift, different work — tell us so it can be agreed properly, rather than asking the caregiver to absorb it.
- Raise problems with us. If something is not working, contact us. We can only fix what we are told about.
6. What we ask of our caregivers
These are the standards we set for the people we place. They are also your assurance about how someone should behave in your home.
- Professional conduct — arriving on time, keeping to the agreed task list, and raising problems with us rather than letting them grow.
- Respect and dignity — for the person being cared for, for the household, and for the home as private space.
- Confidentiality — what a caregiver sees or is told inside your home stays there. That includes health information, family matters, and anything about the household.
- No money between caregiver and family — caregivers must not borrow money from you, lend money to you, or ask you for financial help of any kind.
- No gifts or personal favours — beyond ordinary courtesy, staff should not accept gifts, valuables, or benefits from a household.
- No private arrangements — a caregiver must not agree work with you directly outside Quality Care Services. This is not about protecting a fee; a private arrangement removes the verification, the briefing, the replacement cover and the person you can call when something goes wrong.
If you are asked for money, offered a private arrangement, or see conduct that concerns you, tell us. We take it seriously, and we will not treat you as the problem for raising it.

7. Quotations and payment
How a charge is arrived at
We do not publish fixed rates, because a number set before we understand the situation would not be an honest one. What a placement costs depends on the level of care needed, the hours per day and days per week, the shift pattern, and any specific requirements of the situation.
Quotation before anything starts
After we understand the requirement, we discuss the exact charge with you. You are under no obligation to proceed after that conversation. No service begins until the charge, the hours and the duty have been agreed on both sides.
Invoices and payment timing
The billing arrangement — what is charged, how often, and when payment is due — is confirmed with you as part of agreeing the placement, and we will not change it without telling you first. Because arrangements differ between a short recovery placement and an ongoing monthly one, we agree this case by case rather than stating one rule here that would not be true for everybody.
If payment is delayed
If an invoice becomes overdue we will contact you first and ask what has happened. Where payment remains outstanding, we may pause a placement after telling you. We would always rather agree a way forward than stop a service abruptly, particularly where someone is being cared for.
Refunds
Where a service has been paid for but not delivered, contact us and we will resolve it with you directly. We have deliberately not written a fixed refund formula into this page, because publishing a rule we have not tested against real situations would be worse than saying plainly that we handle it case by case.
8. Cancellation and replacement
Cancelling or changing an arrangement
Tell us by phone or WhatsApp as early as you reasonably can. Notice matters — a caregiver may have turned down other work to hold your placement — so any notice period is agreed with you when the placement is arranged, and we will remind you of it if you ask.
Asking for a replacement
If a placement is not working, tell us and we will arrange a replacement. A placement that is not working is ours to solve, not something you should have to manage around, and we would rather hear about it in the first week than at the end of the month. How quickly a replacement can start depends on the same availability factors set out in section 4.
Interruptions
If a caregiver cannot attend — illness, an emergency, or anything similar — we will inform you as soon as we know and work to arrange cover. We cannot guarantee immediate cover in every case, and we will not tell you otherwise.
When we may end an arrangement
We may withdraw a placement where the working environment is unsafe, where our staff are treated abusively, where the actual requirement turns out to be materially different from what was described, or where the situation needs care beyond what we provide. We will explain the reason.
9. Privacy
How we handle the information you share with us — what we collect, who else handles it, how long we keep it, and how to have it corrected or deleted — is set out in full in our Privacy Policy. It is a separate page so it can be read on its own, and it is not repeated here.
10. Our commitments to you
Terms usually list what a customer must do. These are the things we hold ourselves to, and you can hold us to them too.
- We will never exaggerate a caregiver's qualifications or experience
- We will never guarantee a medical or recovery outcome, because that is not ours to promise
- We will never hide a limitation of the service to win the work
- We will tell you when your situation needs a hospital, a doctor, or a provider other than us
- We will explain what a charge depends on before you commit to anything
- We will share the relevant details of the person coming to your home before the service begins
- We will treat a placement that is not working as our problem to solve
- We will give you a realistic timeline rather than the one you would prefer to hear
11. This website and its content
The Quality Care Services name, logo, page designs, and the written content of this website — including every guide in the Knowledge Center — belong to Quality Care Services. You are welcome to read, print, share and link to any of it for your own use, and we would be glad if a guide is useful to your family.
What we ask is that our content is not republished as someone else's, and that our name and logo are not used in a way that suggests a connection or endorsement that does not exist.
The Knowledge Center is written to help families arrange care. It is general information about organising a household and a placement — it is not medical advice, and it is not a substitute for the treating doctor. Anything clinical belongs with a qualified medical professional.
12. Changes to these Terms
If how we work changes, we will update this page and change the date shown at the top. The version published here at the time you arrange a service is the one that applies to that arrangement. We will not apply a change retrospectively to a placement already running without telling you.
